File Storage in the Library

 

 

 

 

 

 

 

 

 

 

 

A file can contain images, Flash, PDF, or other documents. 

 

 To add a File to the Webtreepro's Library,

 

click on the Library button in the gray panel to the left of your screen.

 

The Library screen will appear, as seen below.

   1.   To the left of the screen is a listing of file folders.  Click on the folder where you want the File to be stored. 

 

      • My Content holds Files that are only available for you to use.
      • Site Content  holds Files that are available to any authorized user of the website.
      • Shared Content  holds Files available only at the parent level, for uploading.  Files loaded here are available to all child sites.

 

   2.      Then, click Upload   which is the first button located in the Library Toolbar.

 

   3.      The Select Files screen will open.  See below.

 

 

As many as 20 Files can be added to the Library at one time.  

The maximum File size that can be uploaded is 15 mb.

 

 

   4.  Click the Add files button at the bottom of the screen, to go through the files you have saved on your computer.  

 

   5.   Search for the File you want to open, and click on the File's name.  Now, click "Open"  to open the File for the Library wizard.

 

   6.   The File name and Title will appear at the top of the Select files window.  See above.

 

   7.   Now, click the Start upload button.  Select files will place the File into the Library.  When the File has been added to the Library, you will see a

         "Confirmation" message in the upper right corner of the screen.

 

   8.   The Library wizard will take you back to the Library screen.  Search for the File's name in the Library list. Using the actual title of Created Date will

          help you find this recently stored File.  Click on the title Created Date.  The Library will group the Files by the dates they were stored, from the earliest

         date to the latest date.  Click again, and the Library will group the Files from the most recent date to the earliest date.  It is a quick and easy way to

         search for a recently stored File.

 

   

    9.   If you want to add Keywords and/or Descriptions to this File, click in the small gray box to the left of the File's name. The name will become 

          highlighted.  Now, click on the Properties button that is located in the middle of the Library's Toolbar.  The Properties window will come up.

 10.   Fill in the blanks of the Properties window.  Entering Keywords and/or Descriptions are optional.  But remember, entering Keywords is helpful

         when searching for a particular File at a later time. This is also where you can change the name of the File, if necessary.

  11.    Click Save   to save entries.

 

  12.   Click Delete   to completely remove this File.  A "Warning" dialog box will appear, and ask if you are sure you want to delete the File.  

            If you are sure, click OK   to delete the File.

 

  13.   Click Cancel   to return to the Library page without saving any entries.

 

  14.   To exit from the Library page, Click the Done button  which is located at the bottom of the screen.  You may have to use the scroll bar to

           be able to see the button.

 

         

 

 

Creating a Link to a Stored File:

 

 

After you store your File, there will be a time when you'll need to use that particular File.

 

You probably will have stored quite a number of Files, and there are several ways to search for a particular Files by using the Library Toolbar.

 Note:

 

To "place" the File, go to the page and panel where you want the File to be. 

 

You will not be actually "placing"  the File into your page.  Rather, you will be creating

 a link from the page to your stored File. 

 

 

 

  

 

 

   1.  To have a visitor be linked to one of the Library's Files, highlight the text that will be the link.

   2.  Now, click on the Link File icon    located in the 5th section of the Editing Toolbar.  Your highlighted text will remain highlighted.  The Link File

         icon will take you to the Library where your Files are stored.

 

   3.  Search for the File. There are several ways to search for a particular File:    

      • Use "Search" to enter part of the letters, numbers, or words that are in the title.  Then click Search .  

 

      • You can, also, search for the File by entering Keywords in the Search bar, if they were previously entered when you first stored the File in the Library. 
      • Double click on the title of the File you want, and click Search  .  The Library will bring up the selected File. 

 

      • Using the actual title of Created Date will help you find a recently stored File.  Click on the title Created Date.  The Library will group the Files by the date when they were stored, from the earliest date to the latest date.  Click again, and the Library will group the Files from the most recent date to the earliest date.  It is a quick and easy way to search for a recently stored File.

 

  

    4.   Select your File by clicking the gray box to the left of the File's title.  Then, click Select    at the bottom of the Library page.  The Library will

           bring you back to your working page.  The File link will remain highlighted as seen below in green.

 

 

 

 

 

   5.   To test the File link, you must be in Published Mode or select Date Preview located in the gray panel to the left of your screen. Click on the text you

          have highlighted.  Your computer might bring up a File Download dialog box.  To open the File, you'll need to click "Open."

   6.   The File will open in another screen.  To exit the File, click  in the top right corner of the File. 

 

 

To Edit or Delete a Linked File:

 

   1.  To edit or delete a Linked File, simply backspace over the highlighted text.  This will break/delete the Link. 

 

   2.   To choose a different File to be linked, repeat steps 1, 2, and 4, seen above.
